Archiving Headache

Ok... I know what I'm looking for exists ,because it's just good common scene ,Maybe.
Here's what I am looking for. A program or something that gives me a link that stay's in the documents folders ,downloads ect. A link that when a file/folder is dropped in the file goes to Storage/Archiving Hdd. & sends a shortcut linked to file to its corresponding Documents Folder.

There it is. A shortcut that archives files and links them to the User Documents with a drag and drop.
Or maybe even a folder monitor that puts links in the Documents Folders when a new file is received?
I dont know if such a thing exists , But it should .
It would big time saver in keeping 4000Gb well maintained and organized.
SO I'M PLEADING TO ANY ONE WHO MIGHT KNOW.... If and or where I could find such a wonderful program.

I think there's a utility called DropFolder or something similar. Go to the Coding Snacks forum. They make easy programs to order if there's not one already around.
